In years of sending groups and hosting exchanges, we have found some recurring administrative tasks that we wanted to simplify. Also, we wanted an app that allows a more structured communication to exchange participantsthan messenger apps do. Finally, we wanted to update our multilingual website systemthat we had developed since 2007 and make it available for everybody. OnGea links all these aspects into one coherent open source systemthat you can install on your own webspace for free – without having to use apps and cloud services that may not comply with current data protection legislation.
Target groups that could potentially use OnGea (non-exhaustive list).
International networks – Can share one multilingual OnGea installation; – Can adapt that installation to their needs (like, what categories of skills and interests will participants be asked for). – Can have various OnGea Website Channels: to present the network, to present individual organisations, and to present common projects. – Can use the OnGea Activity Module to organise exchange activities between the member organisations.
Sendingorganisations – Can chose different intake procedures, from “office staff adds participant data” to “participants sign-up online and edit their own data”. – Can easily share sign-up forms. – Can easily bundle participant information and forward it to the host organisation; – Can re-use profile data of returning participants. – Communicate travel data to participants and host organisations. – Remind participants through the app to take photos/screenshots of their boarding cards (often needed for reporting, prone to getting lost).
Participants – Get information about interesting upcoming projects. – Can sign up easily. – Can log in later to edit/add personal data. – Receive travel information, maps of important places, updated schedules. – Receive important announcements from the activity staff. – Can message the activity staff.
Host organisations – Can customize sign-up forms to get relevant participant data for an activity. – Can chose whether online applicants need approval or are accepted immediately. – Always have an overview of current participants per sending organisation and completeness of their data. – Can easily export signature, food and accomodation lists; and CSV files for creating Youth Pass certificates, and for reporting in the Erasmus+ Mobility Tool. – Can publish results of the activity on OnGea website channels. – Easily provide information for participants (maps, schedules, files, announcements) via the OnGea mobile App.
